How to Use the Eisenhower Matrix for Task Prioritisation
Step-by-step guide to prioritising tasks with the Eisenhower Matrix. Learn the difference between urgent and important, and how to fill each quadrant.
Step 1: Brain-dump all your tasks Write down every task on your mind, no matter how small. Don't organise yet — just get everything out of your head. This alone reduces anxiety and creates mental clarity.
Step 2: Assign each task to a quadrant For each task, ask two questions: Is it urgent (needs attention soon)? Is it important (contributes to long-term goals or significant consequences if ignored)? Place it in the appropriate quadrant.
Step 3: Do quadrant 1 tasks first (Urgent + Important) These are crises, deadlines, and pressing problems. Handle them immediately. The goal is to keep this quadrant small by being proactive.
Step 4: Schedule quadrant 2 tasks (Not Urgent + Important) Strategic planning, skill development, relationship building, preventive maintenance. These create long-term value but are often neglected because they're not urgent. Block time for them proactively.
Step 5: Delegate quadrant 3 tasks (Urgent + Not Important) Interruptions, most emails, many meetings. These feel urgent but don't move your goals forward. Delegate wherever possible, or batch them into a specific time slot.
Step 6: Eliminate quadrant 4 tasks (Not Urgent + Not Important) Trivial busywork, time-wasters, unnecessary tasks. Remove them from your list entirely. Ruthlessly eliminating these tasks is where the biggest productivity gains are found.
